With the introduction of GDPR on May 25th 2018, you may require your current subscribers to reconfirm their subscription to help comply with the new regulation. This tutorial will walk you through the steps within GroupMail 6 to set this up.

Double Opt-In

As our Groupmail Insights fully supports Double Opt-In you can create a Subscribe Link within GroupMail Insights and send this to your current list of subscribers, so that they can re-confirm their subscription.

Assuming you have a Groupmail Insights Accounts, you can Logon to your Insights Account and create an Subscribe Link for your recipients to confirm their subscription through.

If you don’t already have a Groupmail Insights Account, you can sign up for one, there are many different levels to choose from all of which fully support Double Opt-In.

Firstly, you need to create a New Group in the GroupMail Application.
Groups -> New Group -> GroupMail Format (Default) – Recipients are stored internally -> Local (Default) -> on the Group Structure you can specify the fields you want in this Group -> Next -> Specify Group Name.


Enable the Option “Use Subscription Services for this Group“.

Here you can enter the “List Name“. [This is whatever you want to call the list, you can use the same name as your Group if you wish].

Click on the “Subscribers” Tab to specify what data is to be collected and which Field within the Group it is to be stored in.
In this example we are collecting
‘First Name’ and saving this to the Field in the Group called First Name
‘Last Name’ and again saving this to the Field in the Group called Last Name.

Note : If you click on “Optional” the recipient can choose to enter the text or not, if this field is unchecked then entering their name details is mandatory.

Press Ok to Save


Then press the Create Button to create this Group.

Once the Group has been created, you can then logon to your GroupMail Insights Account and click on the “Subscribers” Link.


[This will list all your GroupMail Subscription Forms, where you have enabled ‘Subscription Services’ on your Groups. This can only be done within the GroupMail Application at the point of creating the Group or after it is created by right clicking on the Group and selecting Modify].

Click on the List Name for more details about your Subscription Form and the option to Edit the text that will appear on it.


If you click on the “Embed” Link, it will list the “Subscribe Link” which is the Link you are going to use in your Message to your list of recipients. Copy this Link from here (Ctrl C to Copy).

Back in GroupMail open your GroupMail Message that you wish to send out to your list of recipients.  On this message you can ask your recipients to reconfirm their subscription  explaining why, how and where the subscriber’s data will be held and that by confirming their email address, they are giving their consent.

Note : If you are using Local GroupMail Groups, then all data is stored locally on your PC.

To add the ‘Subscription Link’ in as a Hyperlink, on the GroupMail Message Editor, go to the Insert Menu, Hyperlink.


Link Text : In this example I have used “Click Here” however you can use other text here if you wish.
Type : http://
URL : Remove the text that is here and paste in the Subscription Link that you just copied from Groupmail Insights (Ctrl V to paste).

Press Ok.

If you wish you can also add an Opt-Out Link to this Message.

When the recipient receives your message and clicks on this Subscription Link, they can confirm their details.


Now the recipient can reconfirm their Subscription by pressing ‘Subscribe’ Button, they will see a confirmation message on the screen.


Before the Subscriber is added to your GroupMail Group they must complete the Subscription process by clicking on the Subscription Link within the email they receive (double opt-in). They will receive an email similar to this once they subscribe.


When the Subscriber Clicks on the Subscription Link above, they will receive confirmation that their subscription request has been confirmed. If they do not click on the confirmation link in the email, their details are not added.

Finally, once the Subscriber Add-On is processed (by going to the Tools Menu in GroupMail, Add-Ons, Subscriber and pressing “Process Now”), it will automatically add the recipients that have reconfirmed their Subscription to your New Group.
